Document Fax Interface (DFI)

Faxing got you down?  Do you need to fax documents on demand to any fax number or contact that is required?  Do you hate printing out documents and then standing by fax machine to send them?  Do you want to include a custom cover page and memo with your fax? ClearPath Consulting Corporation now offers an additional DataFlo and ManFact module for Optio Faxfx called Document Fax Interface (DFI).  This module allows you to fax forms from DataFlo with a cover letter that includes a memo area for notes to the recipient.  The base module allows you to fax invoices, sales order acknowledgements, and purchase orders.  The cost of this module is $3,000.00.  Additional forms, such as the SO shipper, statements, rma, and quotes can be added

            Simply fill out the form, as shown below, and print it and the fax will be sent.

Email is the same way, fill out the required data and file it.  Here is an example using the email function.

Document Fax Interface (DFEI)

 1.             Document Type:

Enter the document type that you wish to fax or use a search to select from a list.  Based on the selection we will call the right print program.  The valid selections are:

Invoice              Statement

PO                    Quote

RMA                SO (Sales Acknowledgement)

Shipper (Reprint Shipper)

2.                  Output Type:

Enter F for fax or E for email, default is fax.

3.                  Customer Number:

Enter the customer number for the document type you wish to fax.  An error message will appear if the customer number is not valid.

4.                  Fax\Email Contact:

Using the customer number we will return the first contact name from the customer master.  This field can be overwritten to put in a new contact.  This will not update the customer master, it will be used for this fax only.

5.                  Fax Number\Email Address:

Using the customer number we will return the first fax number from the customer master.  This field can be overwritten and is not validated.  Error messages for a bad fax will be in the FaxFx outbound log for the user that sent the fax.  The id of fax will be the first document number from the document list. For email, simply type over the fax number with the appropriate email address.

6.                  Cover Letter:

Default is Y.  This will send a fax cover sheet with the selected documents.  If N is entered, the cursor will skip the cover letter memo section and move to 7, Enter Document Numbers.  The standard cover letter includes, company logo, address, senders name, recipients name, company information, memo section.

7.                  Cover Letter Memo:

This area allows for six lines of 50 characters each.  This will display in the memo section of the cover letter.

8.                  Enter Document No.:

The user may enter up to ten document numbers to be faxed.  Each document will be validated against the customer number that was entered to ensure that the right information is being sent to the right customer.  After the tenth number has bee added the cursor will move to the control box where the user will file it.  The cursor can also be moved there by hitting enter on a blank line or .C.

 At file time, based on the document type, the appropriate print program will be called.

We can even customize the fax server to notify you once the fax has been sent via email.  Many other options, such as form email only, are available on request.  You can add it to your favorites list and never have to leave your desk again to fax.
